Donations & Memorials Committee Background and Responsibilities
The Donations and Memorials Committee was created in Summer 2022 to establish a community-wide donations program covering projects in all areas of Cape Royal. These can be:

This documented donation process is required for any donation valued in excess of $499. The Committee structure assists the HOA Board, its committees, clubs, residents, or other entities to document the project, obtain necessary approvals and inputs, and fund-raise to achieve a donation project goal. This Committee frequently handles much of the paperwork to make it easier for an individual or committee to create and implement a donation project.
Examples of past projects include memorial benches, Landscape Committee post-hurricane plant restoration, fountains and bubblers for the Cape Royal lakes, lake shoreline restoration by individual residents, and the Pickleball/Tennis Court Restoration project. The Donations and Memorials Committee seeks project proposals annually through a Call for Proposals process to the community committees/organizations/boards, as well as to Cape Royal residents. Projects may also “bubble up” out of need, such as after a hurricane or other emergency.
The Donations and Memorials processes are quite thorough, making sure that the donated object(s) is accepted by a Sponsoring Committee under whose scope the project falls, that it complies with any plans and goals that the committee and HOA Board may have, and that it is accepted by other committees and/or entities that are affected by the project. If a donated object is to be moved or retired, the Donations and Memorials Committee coaches the Sponsoring Committee through the process to do so, frequently handling the required paperwork and approvals.
The funds acquired from the donation process are handled in prescribed ways as dictated by the Cape Royal Finance Committee and state-wide HOA laws and guidelines, assuring compliance and consistency.

Other committee responsibilities include;
Understand the issues relative to its scope responsibilities by communicating with the BOD and HOA membership.
Develop and manage the approved annual Budget.
Develop tactical plans specific to the budget, committee plans and objectives.
Execute plans utilizing project management skills.
Manage BOD approved 3rd party contracts.
Periodically assess future requirements of the Committee’s long range planning and communicating to the Board.
